Registering your Hershey Meet

Thanks for all your help and interest in organizing an event for the Hershey's Track & Field Games in Alberta! We’ll be adding more resources to this section in the coming weeks, so be sure to check back soon.

Please visit the official Hershey’s Track & Field Web Site at www.hersheystrackandfield.com and follow the “Organizers” link to register your meet by going to Event Manager and completing the necessary information.

  If you are a new organizer of a Hershey Meet go to “Register a new account”. Fill in the required information (Your role is of a Local Coordinator). You will then be able to add your meet by going to “Add an event.”

Once you have registered via hersheytrackandfield.com, your event information will be sent to your Alberta Hershey Track & Field Games Coordinator, Phil Booth for approval.  Your meet will then be approved and displayed on the Athletics Alberta website.

 




 
Structure your Hershey Meet – Flexibility is the Key.
Set up your schedule – with our assistance, if you need it.  Running the longest race first with the other students watching is a great way to get the meet going.  Often the longer races are less popular than the others and multi-age and gender races can be held – to add interest and to save time.  Results should be sorted out into the different age groups and genders after this race and after the meet for all events.
  If an athlete is scheduled to be at a track event and field event at the same time, they should go to the track event first.
  For ball throw and standing long jump divide the competitors into groups of about 10.  When everyone in an age group has thrown or jumped, results can be consolidated to determine the overall placings.
  Try not to schedule 50m and 100m races at the same time as you will need a large number of volunteers to act as starters, timers and judges for those events.
  The relays are a great way to bring a meet to a conclusion – all athletes not competing in these events can gather to cheer on the runners.

Send your results to Athletics Alberta
After your meet, please send the meet results/qualifiers to the athletics Alberta office.  Please make sure that you send results sorted into the appropriate age groups (refer to date of birth rather than age).  We strongly encourage you send us your list of qualifiers as quickly as possible.

  You will be contacted by the main Hershey organizing group in Pennsylvania and asked to complete a Results Report.  This is desirable, but not necessary.  However, the Participation Report is very important and needs to be completed – it basically just asks for the number of competitors and volunteers.

All Meet Directors and athletes are reminded to send us your information as soon as possible to make sure that your entered into Alberta's most exciting youth track meet.
 
  • Athletes are responsible for their own transportation to and from Local and Provincial Meets.
 
  • All participants must compete in their age group and gender division.
